Terms & Conditions of Hire
1.1 Agreement
These Terms & Conditions form the Hire Agreement between Grand Occasion Rental ("We", "Us", "Supplier") and the person or organisation hiring equipment ("You", "Hirer"). By placing a booking or accepting delivery you confirm you have authority to enter into this agreement and accept these terms.
1.2 Booking, Payment & Confirmation
- A booking is provisional until the non-refundable booking deposit of 30% of the total hire fee is received. The balance is due 3 working days before delivery (or immediately for bookings made within 3 days of the event).
- We accept card payments, bank transfers, and cash payments.
- For cash payments, full payment must be made on the premises before setup begins. Our team will have a card reader available on the setup day should you prefer to pay by card at that time.
- We will issue a confirmation email with booking details. Please check it and notify us of any errors within 48 hours.
1.3 Delivery, Setup & Collection
- We typically deliver and set up on the morning of your event or at another mutually agreed time.
- Delivery and collection windows will be agreed at booking. You must provide accurate address, access details, and parking instructions.
- The Hirer is responsible for ensuring a suitable, clean, flat, and safe area for setup with adequate overhead clearance and access.
- If access problems, obstruction, or unsuitable surfaces are encountered on arrival that prevent safe setup, we may refuse to set up and no refund will be given.
1.4 Supervision, Age Limits & Safe Use
- Hirer must ensure competent adult supervision at all times while equipment is in use.
- Soft play equipment is intended for children up to 10 years old unless otherwise stated. Adults are not permitted on children’s soft play unless specified.
- The Hirer is responsible for enforcing rules (no shoes, no sharp objects, no face paint, no food or drink in ball pits) and ensuring the equipment is used safely.
1.5 Damage, Loss & Cleaning
- The Hirer is responsible for reasonable care of the equipment while on hire. You will be charged for damage, loss, or excessive cleaning required upon collection.
- We will provide an estimated damage fee schedule in the booking confirmation; final charges depend on repair/replacement costs.
1.6 Cancellation & Amendments
- Cancellation by the Hirer more than 14 days before the event: deposit retained, balance refunded if paid.
- Cancellation within 14 days: deposit retained and 50% of the balance payable, unless we can re-let the equipment.
- We will make reasonable efforts to accommodate date changes; changes are subject to availability and may incur fees.
1.7 Weather & Force Majeure
- Outdoor bookings are subject to weather risk. We will advise where we consider conditions unsafe. If we refuse to deliver or set up due to safety concerns, you may be offered an alternative date or refund of any balance paid, excluding the deposit.
- We accept no liability for cancellations or delivery failures resulting from events outside our control (strikes, road closures, severe weather, government restrictions).
1.8 Insurance & Liability
- We maintain public liability insurance for our equipment and operations. A copy can be provided on request.
- Except for personal injury caused by our negligence, our liability to the Hirer is limited to the hire fee paid.
- The Hirer indemnifies Grand Occasion Rental against all claims, losses, and costs arising from misuse of the equipment, breach of these terms, or negligent supervision.
1.9 Photos & Marketing
- We may take photos of setups for marketing. If you prefer us not to use images of your event, please notify us prior to the event.
1.10 Governing Law
- This agreement is governed by the laws of the Republic of Ireland. Any disputes shall be subject to the exclusive jurisdiction of the Irish courts.
